Who I am
Aloft and Away Design is me, Ben Clissen, working on my own in London. I decide what happens to any details you share with me or that I collect about you. In data protection law that makes me the controller.
For any question about this notice, or to use any of the rights below, email hello@aloftandaway.design.
If you contact me or book a call
What I receive depends on how you get in touch:
- The contact form: your name, email address, business, what you need help with and your message.
- Booking a call: your name, email address, the time you choose and your answers to the booking questions.
- Email: whatever you choose to send.
I use it to reply to you, arrange and hold the call, and prepare a quote if you ask for one. My lawful basis is legitimate interests: you asked me a question and I need your details to answer it. If we go on to work together, the basis becomes our contract.
You don't have to tell me anything, but I can't reply without an email address. Getting in touch doesn't add you to a mailing list. I don't have one.
If I contacted you first
I look for travel and hospitality businesses I think I could help, then write to them. I only use work contact details that the business has published itself, such as on its website or contact page, or on a public professional profile. Every email I send says where I found the address.
I keep a short record of each business I contact:
- the business name, its company number and its website
- the name and role of the person I write to, if published
- the work email address and where I found it
- my notes on the business's website and how guests book
- when we were in touch and what was said
My lawful basis is legitimate interests: telling a business about work that is relevant to it. I keep the record small and only use work details. I send one email and at most two short follow-ups.
If you'd rather not hear from me, reply and say so. Any wording will do. I'll stop straight away and won't contact you or your business again.
Who else handles your details
I use a few services to run the business. Each one handles your details only to provide its service to me:
- Fastmail hosts my email.
- Web3Forms passes contact form messages to my inbox.
- Cal.com handles call bookings.
- DreamHost hosts this website. Like most web hosts, it keeps standard server logs, such as IP addresses and the pages requested.
Some of these services store data outside the UK, including in the United States. Where they do, the transfer is covered by UK adequacy regulations or by the provider's data protection terms.
I don't sell your details or share them with anyone for their own marketing.
How long I keep it
- Enquiries and calls that don't lead to work: 12 months after we were last in touch.
- Outreach records: if you don't reply, I delete my notes 90 days after my last email.
- If you ask me not to contact you: I keep only your name, email address and business on a do-not-contact list, so that I never write to you again.
- Clients: project and billing records for six years, because tax rules require it.
Your rights
You can ask me to:
- give you a copy of what I hold about you
- correct anything that is wrong
- delete it
- limit how I use it
- send it to you in a format another service can read
You can also object to how I use your details. If you object to marketing, including my outreach emails, I'll stop. No reason needed.
Email hello@aloftandaway.design and I'll reply within a month. If you're unhappy with how I've handled your details, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
